KYOcapture Version 4.5 Overview

KYOcapture 4.5 was developed to extend the functionality and usability of the award-winning KYOcapture to provide users with the features that they need and want the most from their document capture software. KYOcapture's new features includes: a new Drag and drop RRT, Microsoft Office Plug-in, and Workflow tracker. KYOcapture 4.5 delivers a complete tool that enables powerful document capture workflow creation, centralized and flexible management. It also expanded the ability to route documents to multiple locations such as database, PC, major document and content management systems. We believe these new features and improvements can further help users increase efficiency and productivity while assisting corporations to meet various compliancy and regulations.

      FTP sites can be polled for distributed capture from remote sites.
  • Workflow Tracker (Process Component)
      Tracks all KYOcapture activities within a workflow and outputs the information to a database. Can be used with Equitrac, CopiTrack and others for cost tracking and reporting.
  • Microsoft Outlook MSG Loader (Process Component)
      Using the Microsoft Office Plug-In or through other protocols such as POP3, you can route e-mail messages to document management systems,and separate emails from attachments.
  • Legal Bates Numbering (Process Component)
      Bates numbering up to a 53 alphanumeric sequences plus an endorsement (watermark). Bates numbers can be inserted as part of the image or as electronic tags within the TIFF or PDF file for searchability and to ensure accurate indexing.
  • OpenScan (Desktop Client)
      Supports TWAIN and ISIS Scanners, routing directly into KYOcapture.

Document Capture Workflow Solution
Automate business processes at the workgroup level throughout the enterprise.

We often find manual tasks in the workgroup and department that are inefficient and costly. Users can automate such departmental business processes utilizing MFPs in the workgroup and integrate them into their core business applications. KYOcapture transforms the document workflow process by applying CAPTURE, PROCESS, ROUTE components using Kyocera MFPs to a wide range of core business applications.

Distributed Capture
Centralized scanning requires dedicated personnel and often requires documents sent via courier to a centralized facility for routing. This results in high costs, lost documents and inefficient operation. Also, daily administrative documents at remote locations tend to be delivered by using express courier. Many of them are time sensitive. Using Kyocera MFPs, KYOcapture can implement a decentralized, electronic workflow reducing communication costs while increasing efficiency.

Information Security
Since security regulations have been tightened, organizations are more sensitive about the security of their data throughout the document workflow process. Communications between Kyocera MFPs, the KYOcapture server and destinations are encrypted. KYOcapture is a server based document capture application that provides an automated document workflow at the MFP's operation panel. Users can create rules-based workflow to capture, process, and route information to a major business applications. In addition to core KYOcapture software, optional tools are available to provide security and central administration for IT administrators.

Capture Documents at Kyocera MFPs

KYOcapture is seamlessly integrated with select Kyocera MFPs. If end-users are familiar with copier operation, it is very easy for them to scan paper-based documents applying indexing information and send to business applications through rules-based workflow.

Dynamic Indexing

Users can select indexing options which are the most suitable for their workflow. For example, when you are scanning invoices for archiving, you can select a "Vendor number" from the vendor list, and then input the "Invoice date", "invoice number", " invoice amount" and "Details". The user interface was established with custom keys that allow users to simplify the process. IT administrators and process owners can specify if the field is required or non-required for end-users to index.

Indexing Field Types:

  • String
      Type in field. It can be used for document details, notes, client IDs, etc.
  • String List
      List of items. It can be used for company names, departments, type of document, etc.
  • Integer
      Number field. It can be used for document number, customer number, etc.
  • Date
      Date field. It can be used for invoice date, check issue date, processed date, etc.
  • Float
      Decimals. It can be used for invoice amount, check amount or any number that requires a decimal point.

Bi-Directional Look Up

Kyocera MFPs combined with KYOcapture provide a unique and powerful tool. Users can access the server database and display indexing information right at the control panel of the MFP.

The benefits of this are:

  • Accurate and productive indexing - Users just need to validate the indexing values without having to retype them. This improves productivity and reduces the potential for manual errors.
  • Fast and efficient indexing - Users can access and display only items that are required for that particular application.
  • Examples:
    • LAN Fax number lists can be displayed at the device for efficient routing.
    • Customer names of selected branch offices can be displayed.
    • Case numbers for selected lawyers can be displayed.

Optical Character Recognition (OCR)
Optical Character Recognition (OCR) within KYOcapture is designed as a server based process where documents can be transformed from an image file into a readable/editable format such as MS Office format or text. Through the use of OCR, documents can also be processed into searchable PDF format for archives.

  • Increase Usability
    Supports conversion of tiff images to all of the most popular file types and delivers the formatting capabilities to match the business need.
  • Multi OCR engine
    KYOcapture supports multiple OCR engines which provides you with a selection that can match your specific type of record. Currently supported engines are:
    • ABBYY FineReader (Included in a base package. Supports searchable PDF)
    • ScanSoft OmniPage (Optional OCR. It offers rich features and functions including zone OCR)
  • Multi-Lingual
    Up to 118 different languages are supported.
  • Increased Accuracy
    Increase OCR accuracy through use of image cleanup support.
  • Output to File/Field
    Direct output to a database field is supported to allow OCR results to flow directly into a database field directly.

Zone OCR Through the use of KYOcapture, you can define one or multiple zones on your document and extract the value of the zones. Extracted values can then be used for automatic indexing of the document.

Barcode Recognition
KYOcapture supports linear barcode and 2D (PDF417) Barcode. Using barcode recognition, KYOcapture reads barcodes on the document and extracts meta-data for more accurate and efficient indexing.

Barcode recognition is used for:

  • Document Separators - Separate documents based on detection of a barcode. The separator pages can speed up the scanning of a large number of documents by allowing a stack of documents to be fed through the scanner ADF.
  • Indexing - Field index values for a document can be printed on the document. The KYOcapture professional barcode component allows you to read barcode values and assign them to back-end application index fields.
  • Dynamic Routing - Use barcodes to turn features on within KYOcapture or set processing parameters. Any parameter within KYOcapture can be set to barcode values to allow for a dynamic value based routing of documents. This includes destination database, folder path name, processing attributes, and more.

Image Processing (Basic or Professional)
Image processing capabilities of KYOcapture can be used automated image cleanup, document splitting, and Barcode page separator processing to greatly increase scanning throughput and reduce user interaction.

Virtual Image Processing
Virtual Image Processing (VIP) is an integrated process component within the KYOcapture server based framework. Using the KYOcapture process designer, an administrator can use the VIP component within the capture workflows when additional image enhancement is required. It is designed to work with any document scanned using any source, a PC scanner, an MFP, a Digital Copier or even captured through LAN Fax servers. VIP instantly checks and adjusts for alignment (skew), brightness, contrast, and image clarity. Any inconsistencies are immediately corrected by VIP on the server before it is handed over to the processing engines such as OCR, ICR and others.
 

Some of the features of VIP Include:

  • Color extraction
    It keeps the selected color, while all other colors are dropped - users can also select a color to replace the dropped ones in the resulting image.
  • Color dropping
    It drops the selected color and replaces it with a substitute color.
  • Thresholding
    It converts an image to black-andwhite. All pixels with the brightness level less than the specified level, becomewhite, while others become black
  • Despeckle
    It eliminates small speckles on the image.
  • Deskew
    It corrects the skewed angle of the image.
  • Adaptive thresholding
    It allows improving recognition results for source images with irregular background using a sophisticated binarization algorithm .
  • File Conversion
    VIP can convert your scanned files into more than two dozen different formats.

 

ABBYY Enterprise Forms Processing (Structured and Semi-structured Forms)
Integrated with the ABBYY Enterprise Forms Processing technology, KYOcapture provides a client-server solution for input of paper forms using any of the capture modules of KYOcapture. This batch-oriented system lowers the costs and increases the accuracy of form input. KYOcapture Forms Recognition implements module architecture in which every workstation performs a certain set of operations. KYOcapture will simply capture documents from multiple sources such as MFPs, and pass it on to ABBYY FormReader for processing. After the processing is over, the extracted and verified data are sent back into the KYOcapture document workflow for further processing.

This ensures a complete audit trail and document hand-over to the Document Managment System (DMS). For applications that are not listed below, KYOcapture can still be integrated using either XML output or custom developed modules using VB, Java or C++.

KYOcapture Network Authentication Server

In order to secure document input and workflow, KYOcapture offers a Network Authentication option. KYOcapture authenticates users in NTLM, Active Directory, and Novell. Network authentication is a key component for any devices connected to the network. This is a critical feature for security sensitive organizations and compliance requirements, such as Sarbanes- Oxley, HIPPA, and other compliance regulations. Network authentication is seamlessly integrated with the workflow, to ensure optimal auditing and security of the documents being captured.

KYOcapture Network Authentication is a server-based solution. As opposed to device-based authentication, which requires extensive point-to-point management from IT, server-based authentication can be managed centrally, lowering total cost of ownership. With server-based authentication, you can enable clustering, failover and other redundancy techniques. It is also expandable to meet users unique environment.

KYOcapture ABMSync

The KYOcapture ABMSync option is a tool for IT administrators to manage Kyocera device address books by synchronizing Lotus or MS Exchange user profiles with device address books. It provides central management capability for companies which have remote offices.

Administrator Benefits:

  • One touch integration with MS Exchange and Lotus Notes
  • Runs as an application within Lotus Notes and MS Exchange. This makes ABMSync available wherever Lotus Notes or MS Exchange is installed.
  • Automatically create user profiles linked to Exchange mailboxes and Notes user IDs.
  • Ability to propagate changes to one Kyocera device address book to a group of Kyocera devices.
  • Ability to synchronize user's private email addresses and propagate them across multiple Kyocera devices.

KYOcapture Device Manager

KYOcapture Device Manager is a tool for IT administrators to centrally manage Kyocera devices which are set up for KYOcapture in the network. KYOcapture, Authentication Server, ABMSync, LDAP settings are easily managed at one location.
